Scope: Worldwide (Exhibitors, Attendees, Delegates, Sponsors, Partners, and Media)

Welxis Connect and the World Education Conclave & Expo 2026 (WEC) Organizing Committee operate with a commitment to commercial integrity and operational transparency. As a large-scale international event, substantial upfront costs are incurred for venue leasing, global logistics, marketing, and technology infrastructure.

This Refund Policy outlines the conditions under which cancellations and refunds are processed to ensure fairness and sustainability for all participants worldwide, including exhibitors, attendees, delegates, sponsors, partners, and media.

1. General Terms & Conditions

  • Written Notice: All cancellation or refund requests must be submitted in writing via email to the Compliance Office. Verbal or social media requests will not be accepted.
  • Processing Fee: All approved refunds are subject to a standard administrative fee of 15% to cover banking, currency conversion, and platform charges.
  • Method of Refund: Refunds will be issued only to the original mode of payment in compliance with AML regulations.
  • Timeline: Approved refunds are processed within 45–55 business days from acknowledgment.

2. Policy for Attendees & Delegates

This section applies to individual registrations, academic delegations, and visitor passes.

A. Voluntary Cancellation (Tiered Structure)

Refund eligibility is determined by the date the written request is received relative to the event start date:

Substitution: If you cannot attend, you may substitute your registration with a colleague from the same organization at no extra cost up to 15 days prior to the event.

B. Visa Rejection Policy (International Delegates)

We recognize the complexities of international travel. If a registered attendee is denied a visa to enter India, a full refund (less the 15% Admin Fee) will be granted, strictly provided that:

  • The visa application was submitted at least 60 days prior to the event.
  • Proof of the official rejection letter from the Embassy/Consulate is submitted to us no later than 14 days before the event.
  • The rejection was not due to failure to submit required documentation or a criminal record.

3. Policy for Exhibitors, Sponsors & Partners

This section applies to booth space bookings, sponsorship packages, and partnership agreements. Due to the high value of inventory and the marketing exposure provided immediately upon signing, these terms are stricter.

A. Cancellation by Exhibitor/Sponsor:

  • Cancellation 140 days prior: The organization will retain 25% of the total contract value.
  • Cancellation 100–110 days prior: The organization will retain 50% of the total contract value.
  • Cancellation within 80 days: 100% Non-Refundable. The organization retains the full contract value as liquidated damages to cover lost opportunity costs and marketing deliverables already executed.

B. Reduction of Space:

Requests to reduce contracted exhibition space must be made in writing. Welxis Connect reserves the right to treat a reduction in space as a cancellation of the original contract and a re-booking of new space, subject to current rates and availability.

4. Event Postponement or Cancellation by Organizer

In the unlikely event that WEC 2026 is cancelled or postponed by Welxis Connect due to commercial reasons:

  • Postponement: All registrations and booth bookings will be automatically rolled over to the new dates. If the new dates are unsuitable, the participant may request a refund within 25 days of the announcement.
  • Cancellation: A full refund of all monies paid will be issued to all parties. Welxis Connect is not liable for secondary costs incurred by participants (e.g., airfare, hotel bookings, or third-party vendor contracts).

5. Force Majeure

Welxis Connect shall not be liable for any failure to perform its obligations (and no refunds shall be issued) where such failure is a result of Acts of God (including fire, flood, earthquake, storm, hurricane, or other natural disaster), war, invasion, act of foreign enemies, hostilities (regardless of whether war is declared), civil war, rebellion, revolution, insurrection, military or usurped power, or confiscation, terrorist activities, nationalization, government sanction, blockage, embargo, labor dispute, strike, lockout, or interruption or failure of electricity or telephone service.

In such cases, the organizer reserves the right to retain fees to cover expenses incurred and may offer a credit/voucher for the subsequent edition of WEC.

6. Dispute Resolution

All refund-related disputes are subject to the jurisdiction of the courts of Bengaluru, Karnataka, India. Amicable resolution via the Compliance Office is encouraged before legal escalation.
